Position Summary
We are looking for a proactive HR & Staff Experience Assistant/Coordinator to join our property in Gstaad for the winter season.
This seasonal role offers a unique opportunity to gain hands-on experience in both Human Resources and hotel operations, while acting as the local HR representative on site.
You will work closely with the HR team based at our Geneva Head Office and support the Executive Housekeeper based in Gstaad in the management of our staff accommodation.
This position offers a high level of autonomy and is ideal for someone looking to develop a broad understanding of HR and operations within the luxury hospitality industry.
Reporting Lines
Reporting to the HR Manager based in Geneva for all HR matters and to the Executive Housekeeper based on-site for staff accommodation activities, you will play a key role in ensuring a smooth employee journey from onboarding through offboarding while contributing to the management of our staff houses.
Responsibilities
Staff Housing & Employee Experience
Coordinate employee arrivals and departures in staff accommodation.
Support train station pick-ups and transportation to staff accommodation when reasonably possible and required.
Conduct check-in, check-out and regular staff house inspections.
Ensure accommodation standards are maintained and report maintenance issues.
Prepare rooms for new arrivals and welcome packs.
Welcome seasonal employees and support their integration.
Assist with uniform fittings and size collection.
Act as the local point of contact for accommodation-related matters.
Support the preparation and follow-up of cleaning schedules and checklists for staff accommodation and employee chalet.
Report missing, damaged or unreturned items to the relevant team.
Support employee experience initiatives, including the Staff Integration Day, Employee of the Month programme and end-of-season Staff Party.
Help and support the Operations Team when needed.
Human Resources Operations
Prepare employment contracts, amendments, HR letters and employment certificates for the winter and upcoming summer season.
Be the first HR point of contact for employees regarding HR questions and topics.
Maintain employee files and update the HRIS.
Register employees in the time & attendance system, including fingerprint enrolment.
Track HR documentation and ensure timely completion.
Follow up work permits and health insurance documentation.
Coordinate onboarding and offboarding activities.
Ensure all administrative steps are completed in a timely manner.
Support the recruitment process for the upcoming summer season.
Support the HR & Payroll Specialist with administrative follow-up where required.
Follow up with Managers on outstanding HR information.
Provide administrative support to the Geneva HR team and participate in HR projects if needed.
Profile
Graduated in HR, Hospitality Management, Business Administration or a related field.
1 to 2 years of experience in HR, Hospitality or Hospitality Management is preferred.
Fluent in both English and French.
Holder of a valid driving licence and own vehicle is mandatory.
Swiss or EU nationality, or otherwise already holding a valid Swiss work permit allowing employment.
Proficient in Microsoft Office, particularly Excel.
Proactive, highly organised and detail-oriented.
Able to work independently, flexible and a great team player.
Eager to learn and develop.
Service-minded with excellent interpersonal skills.
Discreet and able to handle confidential information.
