Personal Data Protection Policy (Applicants)

Ultima Capital SA processes personal data in compliance with Regulation (EU) 2016/679 (GDPR) and applicable data protection laws in Switzerland, France and Greece.

By applying for a job through this website, you authorise Ultima Capital SA (the “Recruiter”), acting as Data Controller, to collect and process your personal data for recruitment purposes.

Data Collected

We may collect and process the following information:

  • Email address
  • Telephone number
  • Curriculum vitae (CV)
  • Any additional information you choose to provide

Purpose of Processing

Your data is collected in order to:

  • Review and manage your application
  • Contact you regarding your application
  • Manage the recruitment and hiring process

Providing this information is voluntary. However, failure to provide the required data may prevent us from processing your application.

Your data is processed on the basis of:

  • Your consent
  • The legitimate interest of the Recruiter in managing recruitment activities

Data Retention

Candidates Not Selected

Personal data relating to unsuccessful candidates is retained for six (6) months following the end of the recruitment process.

Given the seasonal nature of our operations and recurring recruitment needs, we may retain your application for a longer period of up to two (2) years, provided that you give your explicit consent to be included in our talent pool.

You may withdraw your consent at any time by contacting us. Upon withdrawal, your data will be deleted in accordance with applicable regulations.

Candidates Hired

If your application is successful, the necessary personal data will be incorporated into your personnel file.

Documents and data relating to the employment relationship are retained in accordance with legal obligations, generally for a period of five (5) to ten (10) years, depending on the nature of the documents and applicable national laws.

Data Transfers & Hosting

Your data may be processed through authorised service providers, such as Applicant Tracking Systems (ATS), strictly for recruitment management purposes.

Your data is hosted within the European Union. Where applicable, appropriate safeguards are implemented to ensure compliance with GDPR and relevant national legislation.

Access to your personal data is restricted to authorised personnel involved in the recruitment process.

Your Rights

In accordance with GDPR and applicable national laws, you have the right to:

  • Right of access (Article 15 GDPR);
  • Right of rectification (Article 16 of the GDPR);
  • Right to erasure (Article 17 of the GDPR);
  • Right to restriction of processing (Article 18 of the GDPR);
